Cancellation & Refund Policy

We understand that plans can change. This policy explains how cancellations, changes and refunds work for bookings made with Sahaba Travels and Forex Private Limited. Your written quotation or confirmation may set out different terms for a specific booking; if it does, those terms apply.

1. How to cancel

All cancellations must be made in writing — by email to info@sahabatravels.com or by WhatsApp to +91 97690 47633 — by the lead guest. The cancellation date is the day we receive your written request during business hours.

2. Holiday packages (domestic & international)

In addition, the following are charged at actuals if already issued or paid: air tickets (as per airline rules), visa fees, non-refundable hotel nights, cruise, train and attraction tickets, and insurance premiums.

4. Hajj packages

Hajj bookings are governed by the rules of the Ministry of Minority Affairs, Government of India and the Saudi Ministry of Hajj & Umrah. Amounts paid to Saudi authorities for Mina/Arafat services, Hajj visa and Nusuk packages, and to airlines, are refunded only if and when they are refunded to us by those authorities. Our service charges and any non-refundable deposits will be deducted. If a Hajj visa is not issued because of quota or government decisions, we will refund all amounts recoverable from suppliers.

5. Air tickets, hotels & cruises booked separately

• Air tickets: as per the airline’s fare rules, plus our service fee of ₹500 per ticket for domestic and ₹1,000 per ticket for international cancellations.
• Hotels: as per the hotel’s policy; many rates are free to cancel up to 48–72 hours before check-in, while promotional and peak-date rates are non-refundable.
• Cruises & activities: as per the cruise line’s or operator’s cancellation schedule shared at booking.

6. Visa services

Visa fees, VFS/BLS service charges and our visa service fees are non-refundable once an application is submitted, whether the visa is granted, refused or delayed.

7. Foreign exchange

Forex transactions are final once the currency or card has been delivered. Unused currency can be sold back to us at the prevailing buying rate, with valid documents. Forex card balances are refunded through the card issuer’s encashment process.

8. Changes & name corrections

Requests to change dates, hotels or travellers are subject to availability and to any difference in price, plus supplier change fees. Name corrections on air tickets follow airline rules and may need a new ticket.

9. Cancellations by us

If we cancel a departure for reasons other than force majeure, you can choose an alternative date or package, or a full refund of the amount paid to us. If a tour is cancelled or changed due to force majeure, we will refund amounts recoverable from Service Providers, less costs already incurred.

10. Refund process & timelines

• Approved refunds are made to the original payment method or to the bank account of the person who paid.
• We process refunds within 7–15 working days of receiving funds back from the supplier. Airline and hotel refunds can take longer depending on the supplier.
• Bank charges, card convenience fees and applicable taxes are not refundable. TCS collected is adjusted as per income-tax rules.
• No refund is made for unused services, missed tours or meals, or early departure from a tour.
