Sahaba Travels and Forex Private Limited (“we”, “us”) respects your privacy. This policy explains what personal data we collect, how we use and protect it, and the choices you have. It applies to sahabatravels.com, our WhatsApp and phone channels, and our office in Nagpada, Mumbai. We process personal data in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Information we collect

• Identity & contact: name, phone/WhatsApp number, email, address, date of birth, gender and nationality.
• Travel documents: passport details and copies, photographs, visa information, vaccination certificates and, for Hajj/Umrah, mahram details where legally required.
• Forex & payment: PAN, air ticket and visa copies required by RBI rules, and payment references. We do not store full card numbers.
• Booking details: destinations, dates, travellers, preferences, meal or medical requirements you choose to share.
• Website data: device, browser and approximate location, and the pages you visit, collected through basic analytics and your browser.

2. How we use your information

• To give quotes, make bookings and issue tickets, vouchers and invoices.
• To apply for visas, Nusuk/Umrah permits and Hajj registration on your behalf.
• To sell foreign exchange and meet RBI, FEMA, KYC and tax reporting obligations.
• To contact you about your booking, send travel updates and handle feedback or complaints.
• To send offers and newsletters — only where you have agreed; you can opt out at any time.
• To prevent fraud, keep our systems secure and meet legal requirements.

3. Who we share it with

We share only what is needed to deliver your trip or service:

• Airlines, hotels, transport operators, cruise lines, tour guides and other Service Providers.
• Embassies, consulates, visa centres, the Saudi Ministry of Hajj & Umrah / Nusuk platform and Indian government authorities.
• Banks, payment gateways, forex card issuers and insurance companies.
• Professional advisers, and authorities when the law requires it.

We do not sell or rent your personal data to anyone.

4. Website, cookies & local storage

Our website stores a few small preferences in your browser — your chosen language and theme, and whether you have already seen our welcome offer. This information stays on your device. Forms on the site open WhatsApp with the details you typed, or send them to our email if a form service is enabled. Embedded services such as Google Maps, Google Fonts and exchange-rate providers may set their own cookies under their privacy policies. You can clear or block cookies in your browser settings.

5. WhatsApp & phone communication

When you message us on WhatsApp, your messages are also handled under WhatsApp’s own terms and privacy policy. Please avoid sending card numbers or passwords over chat.

6. How long we keep data

We keep booking and forex records for as long as needed to provide the service and to meet legal, tax and RBI record-keeping requirements (generally up to 8 years), after which they are deleted or anonymised.

7. Security

We use reasonable technical and organisational safeguards — restricted access, secure storage of documents, and encrypted connections where available — to protect your data. No method of transmission over the internet is completely secure, but we work to protect your information and will notify you and the authorities of any breach as required by law.

8. Your rights

You may ask us to access, correct or update your personal data, withdraw consent for marketing, or request deletion where we are not legally required to keep it. 9. Children

We collect data about children only when a parent or guardian books travel for them, and with their consent.

We may update this policy when our services or the law change. The latest version will always be on this page with its “last updated” date.
