Thank you for choosing Sahaba Travels and Forex Private Limited (“Sahaba Travels”, “we”, “us”). These Terms & Conditions apply to every booking made with us — online, by phone, on WhatsApp or at our office in Nagpada, Mumbai — and to your use of sahabatravels.com. Please read them carefully; by making a booking or payment you confirm that you have read, understood and accepted them on behalf of yourself and everyone travelling with you.
1. Scope of services
We act as a travel agent and tour arranger for Umrah and Hajj, domestic and international holiday packages, customised itineraries, air tickets, hotels, cruises, visa assistance and related services, and as a dealer in foreign exchange. Flights, hotels, transport, cruises, attractions and visas are provided by independent suppliers (“Service Providers”), whose own terms also apply to your booking.
2. Definitions
- Guest — every person named on a booking, including children and infants.
- Tour / Package — the itinerary, services and inclusions confirmed to you in writing.
- Tour price — the amount payable for the package as stated in your quotation or invoice, including applicable taxes unless stated otherwise.
- FIT — an individually arranged trip; GIT — a group departure on fixed dates.
- Force majeure — events beyond reasonable control, including natural disasters, epidemics, war, terrorism, civil unrest, strikes, government orders, airline or airport closures and changes to Saudi Hajj/Umrah regulations.
3. Quotations, prices & availability
- Prices on the website are “starting from” prices per person, usually on twin/quad sharing, and are indicative until confirmed in writing.
- Prices depend on airfares, hotel rates, taxes, government levies and exchange rates on the day of confirmation, and may change until the booking is fully paid and ticketed.
- Any increase in government taxes, airline fuel surcharges, Saudi Ministry of Hajj & Umrah fees or visa fees after booking may be passed on to you.
- Hotels named in itineraries are indicative; a hotel of the same or similar category may be provided.
4. Booking & payment
- A booking is confirmed only after we receive the advance payment and send written confirmation (email or WhatsApp).
- Unless your quotation says otherwise, an advance of at least 25% of the tour price is required to confirm, and the balance must be paid no later than 21 days before departure. Air tickets, visas and Hajj packages may require full payment at the time of booking.
- If the balance is not paid on time, we may cancel the booking and apply the charges in our Cancellation & Refund Policy.
- Payments are accepted by bank transfer, UPI, cheque, debit/credit card or cash within legal limits. Card payments may attract a bank convenience fee. Tax Collected at Source (TCS) on overseas tour packages is collected as required by the Income Tax Act, 1961.
5. Travel documents, visas & health
- You are responsible for holding a passport valid for at least six months from the date of return, with enough blank pages, and for every visa, permit and health certificate required.
- We assist with visa applications as a facilitator only. Granting, refusing or delaying a visa is the sole decision of the embassy or authority concerned; visa fees and service charges are non-refundable, and normal cancellation charges apply if a visa is refused.
- For Umrah and Hajj, guests must meet all requirements of the Kingdom of Saudi Arabia, including Nusuk registration, vaccinations and mahram rules where applicable.
- Please tell us in advance about any medical condition, mobility need or dietary requirement. Guests should be medically fit to travel and carry their own medicines.
6. Hajj & Umrah specific terms
- Hajj seats are subject to the quota allotted to private tour operators by the Ministry of Minority Affairs, Government of India, and to the regulations of the Saudi Ministry of Hajj & Umrah. Allotment of Mina/Arafat camps, Muallim and Mashair transport is made by Saudi authorities.
- Accommodation distances from the Haram are approximate and may vary by hotel entrance used.
- Qurbani is arranged through the official coupon system at actual cost unless stated as included.
- Guests must follow the instructions of the group leader and Saudi authorities at all times for their own safety.
7. Itinerary changes
We may change the order of sightseeing, timings, hotels or transport where necessary because of weather, traffic, local conditions, supplier changes or force majeure, and will offer a comparable alternative wherever possible. Services not used by a guest (for example, a missed tour or meal) are not refundable.
8. Air travel
Air tickets are governed by the airline’s fare rules, including change and cancellation fees, baggage allowance and no-show rules. Schedule changes, delays and cancellations are the airline’s responsibility; we will help you with re-booking or refund claims.
9. Foreign exchange
- Foreign currency and forex cards are sold under the Foreign Exchange Management Act, 1999 (FEMA) and Reserve Bank of India directions, including the Liberalised Remittance Scheme. A valid passport, visa, air ticket and PAN are required.
- Cash foreign currency for travel is limited to USD 3,000 (or equivalent) per trip; the balance must be carried on a forex card or by other permitted means.
- Rates shown on the website are indicative. The rate applicable to your transaction is the one confirmed by our forex desk at the time of booking or payment.
- Currency once sold and delivered cannot be returned at the same rate; buy-back is done at the prevailing buying rate.
10. Your responsibilities
Guests must provide accurate names exactly as on passports, follow local laws and customs, look after their own belongings and documents, and arrive on time for flights, transfers and tours. We are not responsible for loss or damage to personal belongings, or for costs arising from a guest’s own conduct, missed connections or incorrect information.
11. Travel insurance
We strongly recommend comprehensive travel insurance covering medical expenses, cancellation, baggage and trip interruption. Unless it is listed as an inclusion, insurance is not part of the tour price.
12. Limitation of liability
As an agent, we are not liable for any act, omission, delay, injury, loss or damage caused by a Service Provider or by force majeure. Our total liability for any claim relating to a booking is limited to the amount paid to us for that booking, excluding amounts already passed on to Service Providers.
13. Complaints
If something is not right during your trip, please tell your group leader or call us immediately so we can try to fix it on the spot. Written complaints should reach us within 15 days of your return at info@sahabatravels.com. You can also share your experience on our Feedback page.
14. Website use & intellectual property
Content on this website — text, itineraries, design and logos — belongs to Sahaba Travels or its licensors and may not be copied for commercial use without permission. Photographs are used for illustration and may not show the exact hotel or view you will receive.
15. Governing law & jurisdiction
These terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts at Mumbai, Maharashtra.
16. Changes to these terms
We may update these terms from time to time. The version published on this page on the date of your booking applies to that booking.
